Quotes in minutes instead of hours

Problem
Every enquiry had to be calculated by hand in the evening by the owner. Material, cutting, labour all in his head or on scraps of paper. It often took days for a quote to go out, and customers walked away.
Solution
We turned the calculation into a simple tool that automatically works out a quote price from dimensions, material type and quantity, including current steel prices.
Build
A web-based calculator with stored material prices and labour rates that generates a ready-made PDF quote with the company logo at the push of a button.

Quotes now go out the same day, often in minutes instead of hours. Saves around 10 hours a week in the office.

Electrical contractor

Maintenance dates that remind themselves

Problem
Maintenance contracts were tracked in an Excel sheet. Dates slipped through, customers had to chase, and the business lost predictable revenue.
Solution
An automation keeps an eye on all maintenance intervals and reaches out to both customer and business in good time, on its own.
Build
A central equipment database with automatic email and SMS reminders, suggested appointments and an overview for the scheduler.

No more forgotten maintenance dates. Around 20% more maintenance revenue, because appointments actually happen.

Joinery

Enquiries land sorted, not in inbox chaos

Problem
Enquiries came in by email, contact form and phone and often slipped away. Nobody knew which one had already been answered.
Solution
All enquiries now flow into one system, are captured automatically and assigned to the right person.
Build
Mailbox and web form connected to a simple CRM with automatic categorisation, reminders for open enquiries and reply templates.

No more lost enquiries. Follow-up questions dropped by around 30% and response time was cut in half.

Mechanical engineering / Production

Machine data without the paper shuffle

Problem
Downtime and unit counts were noted by hand on shift sheets. Reports came too late and problems only surfaced once they got expensive.
Solution
We read the machine data straight from the existing interface and analyse it automatically.
Build
API connection to the controllers, a live dashboard with unit counts, downtime reasons and automatic alerts when something looks off.

Downtime becomes visible immediately. Unplanned outages dropped noticeably and manual shift reporting disappears entirely.

Car workshop

Reminders that bring the car back in

Problem
Service and tyre-change appointments were never followed up systematically. Customers went to competitors because nobody got in touch.
Solution
An automation automatically reminds customers of due services, inspections and the seasonal tyre change.
Build
Connection to the workshop software, automatic email and SMS reminders with a direct link to online booking.

Full diary during tyre season. Around 25% more returning customers thanks to automatic reminders.

Faster on site, less paperwork

Problem
Fitters wrote up jobs and materials on paper, and the office re-typed it all in the evening. Invoices went out late.
Solution
Job recording now happens digitally right on the tablet, with materials and times landing in the office automatically.
Build
Mobile job capture with photo documentation, automatic transfer into the invoice and a link to the accounting system.

Invoices go out days earlier. Saves around 12 hours a week of double entry in the office.

Finding the right tenders automatically

Problem
Public tenders were searched for by hand across various portals. A lot was missed and the effort was hard to keep up.
Solution
An automatic search service scans the relevant portals every day and filters out the matching tenders.
Build
Daily automatic search across several tender platforms with tailored filters and a concise summary by email.

No suitable tender slips through any more. Instead of hours of searching a week, just a few minutes of review.

Incoming invoices that record themselves

Supplier invoices were typed into the accounts by hand. Errors, typing time and searching during disputes cost time every day.
Solution
Incoming invoices are read automatically, checked and handed over ready for posting.
Build
Automatic document recognition from PDF and paper, matching against orders and a clean export into the accounting software.
